PURPOSE AND REASON FOR PROCESSING PERSONAL DATA

Personal data is stored related to recruitment process of Silvasti Group. This data includes only information relevant to the recruitment process.

Background information checks about applicant may be acquired with applicant’s consent depending on the position to be filled.

Silvasti Group may also use suitability assessment in the recruitment process with applicant’s consent. Suitability assessment is always done by certified and dependable actor.

By filling in job application to the Silvasti Group the applicant agrees to the use and storage of the data according to this privacy statement

DATA CONTENT

Personal data collected and processed related to recruitment process includes information such as

Basic information

  • Name, address, birthdate, email address, phone number, LinkedIn-profile address.

Background information

  • Work experience, education, professional certificates, language proficiency, IT skills, hobbies, acquired training and positions of trust

Information related to job application

  • Work status, work interests, employment expectations: working hours, form of employment, work site, salary request and references

Personal data includes job application attachments for example open application and curriculum vitae. Additionally, background checks and suitability assessments if applicable.

RETENTION PERIOD OF PERSONAL DATA

Personal data is stored in the recruitment register only as long as it is appropriate for the recruitment process.

Open job application data is stored for three months before deletion. Deletion of applicant’s information can also be done earlier if requested.

Personal data related to specific job application will be removed after finalization of the recruitment process. Removal of personal data is done at the latest three months after application period has started.

REGULAR DATA SOURCES

Personal information directly received from the applicant in a job application or open application is recorded to the recruitment register. In addition, interviewers participating in the recruitment process can save information received in an interview to the register.

Silvasti Group can receive additional information from a third party after receiving consent from the applicant. This includes information from references, authorities or from possible suitability assessment.

REGULAR DISCLOSURE OF DATA

Personal information will not be disclosed to a third party without receiving explicit consent from the applicant. Silvasti Group may be required by or under mandatory law disclose your personal data to authorities.

DATA TRANSFER OUTSIDE EUROPEAN UNION OR EUROPEAN ECONOMIC AREA

Personal information as a rule is not transferred to locations outside the EU/EEA area. It is possible that personal data can be stored in servers located outside EU/EEA or technical support may be asked outside EU/EEA. In these cases, data privacy is ensured in accordance with data privacy legislation and other regulations.


PRINCIPLES OF DATA PROTECTION

Any possible manual material is stored on locked premises where only designated people may access it when it is necessary for them for realising their work.

Only authorised employees or partners may access digital material using their personal login credentials. There are different levels of access rights, and each user is granted sufficient rights for their work but in a limited manner as possible.

RIGHTS OF DATA SUBJECT

According to the General Data Protection Regulation (GDPR), data subjects of our data processing registers have special rights.

  1. Data subject’s right of access (right to inspection)
    The data subject has the right to inspect what data about them is stored in the register. The right to inspection may be rejected based on legal grounds. The use of the right to inspection is primarily free.
  2. Data subject’s right to rectification, erasure or restriction of processing
    The data subject has the right to rectify data about them. The data subject also has the right to demand the controller to restrict the use of their personal data, for instance, in a situation wherein the data subject is awaiting a reply to their request concerning the rectification or erasure of their data.
  3. Data subject’s right to data portability
    For the parts that the data subject has provided data to the marketing register and it is processed based on the data subject’s consent or assignment, the data subject has the right to receive this kind of data primarily in machine-readable format. In addition, the data subject has the right to transfer this data to another controller.
  4. Data subject’s right to lodge a complaint with the data protection authority
    The data subject has the right to lodge a complaint to the supervisory data protection authority if the controller has not complied with the applicable data protection regulations in their operations.
  5. Other rights
    If personal data is processed based on the data subject’s consent, the data subject has the right to revoke their consent by notifying us.
